Enrollment Guidelines
- Only enrollment with successful payment and confirmation email will be counted as a completed application.
- Participants must carefully study the rules and regulations listed below. Participants who completed the registration process agreed to follow the rules and regulations of the event they signed up for, as well as to allow the Organizers and media to use their image, name, voice, and information for event promotion and dissemination.
- Participants are liable for their own personal accident insurance.
- Participants under the age of 18 must obtain parental or guardian permission.
- Participants must ensure that the information entered on the registration form is correct.
- Participants should register to their respective age group. (Age is counted based on the year of birth. For example, a male born in Nov 1995, his age is counted as 30. His age group category should be Male 30-39).
- A confirmation email will be sent to the participants upon successful registration. If you do not receive the confirmation email after your registration, please contact us by email [email protected] or call (852) 2117 1650 for assistance.
- The event is entirely voluntary, and participants agree to assume all risks and responsibilities. Participants have no right to seek compensation or hold the Organizers, event planners, sponsors, supporting organizations, agents, contractors, and their respective directors, employees, helpers and volunteers, liable for any injuries, accidents, deaths, or other losses incurred while traveling to and from the event venue, during the event, or for any other reason. Participants are advised to arrange their own insurance.
- Participants must ensure that they are physically fit to join the event. For individuals who are pregnant or have chronic illnesses such as heart disease, the Organizers recommend consulting a doctor and undergoing a medical examination before the event to ensure that their physical condition is suitable for participating in the running event.
- The Organizers reserve the right to cancel or disqualify any individuals deemed unfit to participate upon learning or suspicion. Once participants submit their registration and participate in the running event, it indicates that:
- Participants guarantee and ensure that they are in suitable physical condition to participate in and complete the running event.
- If participants' unsuitable physical condition results in the following situations, participants agree to bear all losses:
- Injury or death to themselves or others
- Any property loss
- Once the entry is accepted, enrollment fee is non-refundable & non-transferable under any circumstances. A confirmation email will be sent within ten working days. If you do not, please contact us immediately.
- The extra fee for duplicated enrollment is non-refundable and cannot be transferred to another applicant or other race.
- Enrollment fee is not tax deductible.
- On-site or late enrollment will not be accepted.
- >Participants should display the race bib properly on their chests to ensure it is visible for staff to record throughout the event. Race bib will not be re-issued.
- Participants who complete the event will receive a finisher medal. The Organizers and race director have the final authority to determine participants' qualifications. Participants must abide by this decision.
- The Organizers may ask participants to show identification to confirm their identity prior to award receipt, such as passports or Hong Kong ID cards.
- The Organizers reserve the right to contact participants with questions about their enrollment information.
- The Organizers reserve the right to disqualify the participation of any individuals who violate or fail to comply with any Hong Kong laws or the rules of the running event. The enrollment fee of disqualified participants is non-refundable.
- The Organizers reserve the right to change any track without prior notice before or during the event according to the actual road conditions or in case of emergencies. The Organizers may suspend the event in case emergency vehicles need to use parts of the track during the event. Participants must adhere to the instructions of on-site staff or law enforcement officers.
- In all circumstances, participants must follow the instructions of the Organizers and all staff or law enforcement officers on the track. Participants should agree to absolve the Organizers from all liability for any injuries or losses caused by noncompliance with staff instructions.
- The Organizers have the final decision-making authority for the event. Temporary event changes or announcements will be announced on the official website. The Organizers reserve the right to disqualify the participation of any individuals who cause public unrest or engage in behaviour deemed inappropriate by the Organizers. Race Pack
- An email notice regarding collection of race pack will be sent to the registered participants two weeks before the event day.
- Participants need to show either the printout or the electronic version of the notification email to our staff to collect the race pack and event materials.
Use of personal information
- The Organizers reserve the right to use any images, videos, and race records from the event for any lawful purposes, including event promotion on the Hong Kong College of Cardiology's website and publications.
- The Hong Kong College of Cardiology organizes the event, with 22 PLUS serving as the public relations agency, and Sportsoho Media Limited coordinates and executes the running race, along with any appointed service suppliers. The information provided by participants will be used for the following purposes:
- Announce race results and event information.
- Process enrollment, including confirmation, receipts, payment notifications etc.
- Participant identification.
- Recording conversation with participants
- Other lawful purposes as authorized by laws and regulations
- Participants' personal information from the enrollment form may be shared with relevant organizations.
- The Organisers will not rent, share, or sell any personally identifiable information that participants voluntarily provide on this website, such as email addresses and phone numbers.
- Participants who completed the registration process agreed to be abided by the rules and regulations of the event that has been signed up. Notice
- The Hong Kong College of Cardiology organises the event, with 22 PLUS serving as the public relations agency, and Sportsoho Media Limited coordinates and executes the running race.
- The Organisers will keep the race path orderly to ensure the safety of all participants. Participants must follow the instructions.
- Participants are advised not to stop and take photos in the starting area, race course and finish line to avoid accidents.
- To ensure the reopening of the race route within the designated time, the Organisers will set up checkpoints along the route. The Organisers reserve the right to disqualify them from continuing the race if any participants fail to pass these checkpoints within the specified time. Participants must follow the instructions of the officials and return to the starting point.
- Participants must not enter emergency vehicle lanes and must comply with the instructions of the officials to ensure emergency vehicles can quickly reach accident scenes during the event.
- Participants are asked to leave the finish area as soon as they cross the finish line in order to reduce congestion and prevent accidents.
- Bringing any pets or wheeled objects, such as wheelchairs (except for wheelchairs approved by the organizers for wheelchair races), bicycles (except for bicycles designated by the organizers), rollerblades, strollers, shoes with built-in wheels, etc., within the race area are strictly prohibited.
- Baggage storage will be provided. Please do not bring any valuable items. The Organizer will not be responsible for the lost or damage of any baggage stored with us. Participants are deemed to be accepting this term when using the baggage storage service.
- Should there be any emergencies or assistance needed during the event, participants shall contact the officials at the information center.
- Participants will be held liable for adequate compensation if they intentionally cause damage that results in additional costs for the Organizers.
- Severe Weather
- If Typhoon Signal No.8 or above is hoisted at any time from 8:00 am on the day before event, the event will be cancelled.
- If Typhoon Signal No.3 or above is hoisted at any time from 3:00 am on the event day, the event will be cancelled.
- If the Red/Black Rainstorm Signal is hoisted at any time from 4:00 am on the event day, the event will be cancelled.
- If any other non-human-controlled weather conditions are announced from 4:00 am on the event day, the event will be cancelled.
- If the race is cancelled due to the above Inclement Weather/Condition Warnings hoisting, enrollment fee will not be refunded.
- If the Hong Kong Observatory forecasts inclement weather on the day of the event with a high likelihood of weather warnings being issued, the Event Director has the right to change the event route or postpone the event. The enrollment fee will not be refunded.
- If the race is cancelled due to the above Inclement Weather/Condition Warnings hoisted before the race, no rescheduled race will be arranged. Entry Fee will not be refunded. The Race Pack will be available for collection under the Organizer’s arrangement.
- Please check the weather on the event day from Hong Kong Observatory (Tel: 1878200).
- The organizers have the final decision-making authority in any disputes arising from this event, including the interpretation and enforcement of this statement and any participation rules
Cancellations and Refunds
- The Organizers have the right to cancel or shorten the race based on the following reasons:
- Bad weather conditions
- Landslides, mudflows, wildfires
- Protests or road closures/blockages along the race route
- Force majeure, which refers to events beyond the control of the organizers/event planners that make it impossible, unsafe, or impractical to hold the race. Force majeure events include but are not limited to natural disasters, war, hostile actions, invasion, rebellion, revolution, uprising, riots, disturbances, strikes, work stoppages, bans, disorders, outbreaks of diseases, acts and threats of terrorism.
- Enrollment fee is non-refundable by the Organizers based on the above circumstances.
- The Organizer reserves the final right to interpret and amend the above regulations. Any changes or contingent measures for the event announced by the Organizer and posted on the Organizer’s web page shall prevail.
Note: The organizers reserve the final decision-making authority for this event. This Terms and Conditions has been translated into Chinese. If there is any inconsistency or ambiguity between the English version and Chinese version, the Chinese version shall prevail.
The event Organizer of the World Heart Day 2024-2025 Carnival cum Run for Heart own the rights of editing and interpreting the above important notes and corresponding event requirements. Any changes or contingent measures for the event announced by the Organizer and posted on the Organizer’s web page shall prevail.
